We have an exciting opportunity for a part-time Customer Services Team Member to join our team.

SEN Legal is a long-established specialist education and disability law firm with a national client base. We act on behalf of parents and young persons in SEND tribunal appeals, disability discrimination claims, judicial review claims, deputyship applications, social care and other related matters.

SEN Legal also provide advice to schools and academy groups with regards to Ofsted, funding, consultations, contract terms, annual reviews and potential judicial review claims and proceedings.

Your Role 

You will join our Customer Service Team, managed by Head of Customer Service, Kyra Harvey.  

 

The main duty of the role of a Customer Service Team Member is to provide support within the Customer Services Team and provide assistance to the Legal Team. You will be one of the first people our clients speak to over the telephone or by email. Your role includes a variety of administrative duties which are vital to the day-to-day running of the Practice.

Responsibilities 

  • Reception work which will involve answering the telephone, dealing with telephone enquiries, and passing on messages to appropriate staff in a timely and efficient manner.

  • Dealing with enquiries submitted through the practice’s website. 

  • Accessing, retrieving, and downloading files from a variety of secure share points and saving these documents accurately onto the case management software.

  • Opening, recording, scanning and saving all incoming post, and sharing on Microsoft Teams a daily log to notify all staff. We operate as a paperless office, so other than Court of Protection Orders, Data Protection Material and original client papers, all incoming mail once saved on the system is destroyed using the confidential waste facility. 

  • Franking the outgoing post including sending out all recorded, special and courier deliveries, recording these in the appropriate logs, and disbursing charges on the case management software. 

  • Photocopying all Tribunal bundles and disbursing charges on LEAP. 

  • Setting up telephone, Zoom or Teams calls between clients and Solicitors. 

  • Updating and maintaining the case management software, including processing new clients, creating new matters for existing clients and general maintaining of the database in order to keep it as accurate and up to date as possible. You may also be required to amend/create Word and Outlook templates for the Legal and Customer Services Team to use. 

  • Sending out Subject Access Requests on behalf of the Legal Team. 

  • Ordering office supplies (i.e. stationery and groceries), arranging the collection of confidential waste and the recycling of printer toner and ink cartridges.
